Dear Mr. Mukhopadhyay,

Your complaint letter has come to my attention and I would like to apologize for the delay in delivery of the uniforms you have ordered for your company.  I have asked the sales manager for their reasons for the delay and he has informed me that the cloth used for the uniforms were out of stock and had to be purchased from another supplier who delivered late.  We know that whatever problem that arises from our end should not affect our delivery of products to you.  Our sales manager is new in the job and accepts the fault as his own.

We will be delivering the uniforms within the week and we hope that you would still accept them.  As a way of retribution for our fault, we are giving you a discount on the price of the uniforms.
