Subject: Cancellation Notice Letter

Respected Sir

With due respect, I want to inform you that I am afraid I will not be able to attend the meeting we had on Thursday 21st, 2011 at 1.00 PM. I have to attend an urgent meeting with a very important client at that time and that can’t be cancelled. I am extremely sorry at this act of mine.

I understand that this sounds very unprofessional to know but I have to do this because it is very urgent for me. We have a long professional relation for last four years and never had any issues with each other. We have always worked together for mutual benefit and I really appreciate your professionalism and intelligence.

I would very much like to have our meeting postponed if you agree on this. You can tell me when you are able to provide timing for next meeting. I am available on Tuesday and Friday, any time after 2:00 PM.

I hope this sudden change of plans does not cause you much inconvenience.
